Managing Customers

Helm ADE provides comprehensive customer management capabilities at the organization level. Customers can be linked to projects, associated with contacts, and tracked across your entire organization.

Overview

Customer management in Helm ADE enables you to:

  • Track customers at the organization level
  • Link customers to projects for project-scoped work
  • Manage customer contacts for communication
  • Maintain customer metadata including industry, website, and notes

Accessing Customer Management

From the Organization Settings

  • Navigate to Organization Settings in the sidebar
  • Select Customers from the settings menu
  • You'll see the customer list for your organization
  • Required Permissions

    Creating a Customer

    Using the Customer Form

  • Click + New Customer in the customer list
  • Fill in the customer details:
  • - Name (required) - The customer's company or individual name - Industry - Business sector or industry vertical - Website - Customer's website URL - Notes - Internal notes about the customer
  • Click Create to save the customer

    Editing a Customer

  • Find the customer in the customer list
  • Click the Edit button (pencil icon) or the customer row
  • Update the desired fields
  • Click Save to apply changes
  • Managing Customer Contacts

    Each customer can have multiple contacts associated with them. Contacts represent individuals at the customer organization.

    Adding a Contact

  • Open the customer detail view
  • Navigate to the Contacts tab
  • Click + Add Contact
  • Fill in contact details:
  • - Name - Contact's full name - Email - Primary email address - Phone - Phone number (optional) - Role - Contact's role at the customer organization - Is Primary - Toggle if this is the primary contact
  • Click Save to add the contact
  • Primary Contacts

    Each customer can have one primary contact designated. The primary contact:

    • Appears first in contact lists
    • Is used as default for communications
    • Shows with a badge indicator in the UI

    Linking Customers to Projects

    Customers can be associated with specific projects for project-scoped tracking.

    From the Project Settings

  • Navigate to Project Settings
  • Select Linked Customers
  • Click + Link Customer
  • Search for and select the customer
  • The customer is now linked to the project
  • From the Customer Detail

  • Open the customer detail view
  • Navigate to the Projects tab
  • Click + Link Project
  • Select the project from the dropdown
  • Click Link to create the association
  • Unlinking a Customer

  • Navigate to the customer's Projects tab
  • Find the project to unlink
  • Click the Unlink button
  • Confirm the action
  • Searching and Filtering Customers

    Search

    Use the search bar at the top of the customer list to find customers by:

    • Name
    • Industry
    • Notes content

    Filters

    Filter the customer list by:

    • Industry - Show customers in a specific industry
    • Has Projects - Show only customers linked to projects
    • Created Date - Filter by when customers were added

    Deleting a Customer

    > ⚠️ Warning: Deleting a customer will also remove all associated contacts and project links. This action cannot be undone.

  • Open the customer detail view
  • Click Delete Customer in the actions menu
  • Confirm the deletion in the modal
  • The customer and all related data will be removed
  • Best Practices

    Organizing Customers

    • Use consistent naming conventions for customer names
    • Populate the industry field for filtering and reporting
    • Keep notes updated with relevant context

    Managing Contacts

    • Always designate a primary contact for each customer
    • Include role information to understand who to contact for what
    • Keep email addresses current for communication integrations

    Project Linking

    • Link customers to projects early in the project lifecycle
    • Review project links periodically to keep associations current
    • Use project links to scope tickets and time tracking to customers

    Troubleshooting

    "Permission denied" when creating customers

    You need at least member role in the organization to create customers. Contact your organization admin to upgrade your permissions.

    Customer not appearing in project link dropdown

    Only customers belonging to your organization appear in the dropdown. Ensure the customer was created in the correct organization context.

    Contacts not syncing

    Contact changes are saved immediately. If changes don't appear, refresh the page or check your network connection.
